Original documents submitted to the College become a permanent part of a file and will not be returned to the student or sent elsewhere. Custodian of Records

Casa Loma College is the official custodian of records for Western Institute of Health and Sonoma College. Former students and graduates of these two closed colleges may contact the Casa Loma College Registrars Office for more information.

Admissions Office
Students’ applications, transcripts, letters of recommendation, admissions disclosures and student profiles are maintained by the admissions office until an admission decision is reached. Records are transferred from the Admissions Office to the Registrar’s Office when the admissions process is complete. Completed records are maintained in the Registrar’s Office by the Registrar.  Admissions records of applicants not enrolled are maintained in the Admissions Office for five years in accordance with the Casa Loma College Record Retention and Disposal Policy.

Financial Aid Office
The Financial Aid Office maintains a file of records for each student, past and present, receiving financial assistance. Files are held in the Financial Aid Office until the student’s program completion and older files are kept in retention. All financial aid records are retained for a minimum of five years after graduation or withdrawal in accordance with the Casa Loma College Record Retention and Disposal Policy.

Registrar’s Office
The Registrar provides and maintains the quality, accuracy, safekeeping and confidentiality of the official academic records of all students, past and present. From evaluation of transfer credit, collection and posting of grades and attendance to final degree evaluations, all aspects of a student’s academic record are handled by the Registrars’ Office. Academic records are maintained for a period of five (5) years after gradation or withdrawal in accordance with the Casa Loma College Record Retention Policy.

Security and Confidentiality Policy
The following persons or groups are authorized access to official records without student consent:

  1. College faculty members and other College officials with legitimate educational interests.
  2. College officials of other institutions in which the student seeks or intends to enroll.
  3. Authorized representatives of federal, state, or local government.
  4. Accrediting organization in order to carry out their accrediting functions.
  5. The privacy rights of an individual expire with that individual’s death. Accordingly, the disposition of records held by the College and pertaining to a deceased individual is not a FERPA issue but a matter of institutional policy. The College requires that individual seeking records on a deceased student must complete the release form, submit an official death certificate, and submit documentation proving the requester is either a parent or guardian of the deceased student or an executor/executrix of the deceased student’s estate.

Records of Request
A student must submit a written request to the appropriate department and specify the records to be released, the purpose of the disclosure, and the party and address to which information is to be released. All requests must have the student’s signature.

The College maintains records of request of personally identifiable information. The records of requests include the names and addresses of the person who requested the information and their legitimate interest in the information. The records of disclosures and request for disclosures are considered part of students’ academic records; therefore, records of disclosures and request for disclosures follow the student record retention policy.

Student Record Retention
Each student transcript is a permanent document of the College and will be maintained indefinitely. All other student records are maintained in accordance with the Records and Retention and Disposal Policy and Schedule.
